For equipment held a decade, that means a decade plus three years. The most expensive mistake is a shared bank account. Where personal and business funds move through the same account, every deduction must be traced transaction by transaction, and an examiner may treat total deposits as income unless the taxpayer shows otherwise. Separating accounts costs nothing. Reconstructing years of commingled activity costs a great deal. Some expenses cannot be reconstructed at all. Travel, meals, gifts, and vehicle use are subject to strict substantiation under § 274(d), which forecloses estimation. Without contemporaneous records of amount, time, place, and business purpose, the deduction is disallowed in full. New York adds its own. A registered sales tax vendor maintains records supporting collection and remittance, and sole proprietors operating in New York City are subject to the Unincorporated Business Tax, with the documentation that entails.
